Terms of service
Last updated 29 August 2026.
These terms cover a museum's use of Capsaria. By signing in to Capsaria, a museum's staff and volunteers agree to them on the museum's behalf.
What Capsaria is
Capsaria is museum collection management software: a record of objects, people, gifts, loans and rights, and the tools a museum uses to keep it current. There is no self-serve signup yet; accounts are set up by us for a museum after we agree terms directly.
Your records stay yours
Everything a museum enters into Capsaria belongs to that museum. We do not claim ownership of it, do not use it to train anything, and do not share it with anyone else. A museum can export it all, free, at any time, including the day it stops using Capsaria.
Accounts and access
A museum is responsible for who it gives an account to and for telling us when someone should lose access. Sign-in is by a single-use link sent to a named person's email; sharing that email account defeats the record of who did what, which is part of what the museum is paying for.
Fees
Pricing and billing are agreed directly with each museum before an account is created; this page does not set a price. When there is a standard plan, its fee and renewal terms will be set out here before it applies to anyone.
Availability
We aim to keep Capsaria reachable and working correctly, and we will tell a museum about planned downtime in advance where we can. We do not promise the service will never fail; we do promise a museum's records are never held hostage to it (see Your records stay yours, above).
Ending an account
A museum can stop using Capsaria at any time. We can end an account for a museum that misuses the service or does not pay an agreed fee, with notice. Either way, a museum gets a chance to export its records first; see our privacy policy for how long we keep data after that.
Warranty and liability
Capsaria is provided as it stands, without a promise that it suits every purpose. Neither party is liable to the other for indirect or consequential loss. This agreement is governed by the laws of the Province of British Columbia and the federal laws of Canada applicable there, and the parties submit to the exclusive jurisdiction of the courts of British Columbia.
Changes to these terms
If we change these terms in a way that matters, we will tell an active museum before the change takes effect, rather than only update the date on this page.
